The School Office Administrator is the central point of contact for pupils, families, staff, and visitors. They provide high‑quality administrative, organisational, and communication support across the school. A School Office Administrator keeps the school running smoothly — maintaining communication, records, safeguarding procedures, and day‑to‑day organisation — while providing a warm, professional welcome to families and visitors.

Duties include:

Key Responsibilities

  • Front-of house- public facing — Provide a welcoming, professional reception for pupils, parents, staff, and visitors; manage enquiries in person, by phone, and via email.
  • Attendance administration — Record pupil lateness, ensure absence messages are passed on 
  • Safeguarding compliance — Ensure visitor and pupil sign‑in procedures, ID checks
  • Communication coordination — Prepare letters, newsletters, messages, and digital updates for families; support staff communication systems.
  • Pupil records management — Update pupil information, process admissions and leavers.
  • Administrative support — Assist senior leaders and teachers with photocopying, filing, scheduling, and document preparation.
  • Finance and ordering — Process orders and supplies upon delivery
  • Medical and first‑aid support — Maintain first aid records, medical records, and liaise with parents regarding pupil health needs and/or medication.
  • Event coordination — Support organisation of school trips and whole‑school events.
  • Confidentiality and professionalism — Handle sensitive information discreetly and uphold GDPR requirements.

Essential Skills & Qualities

  • Excellent communication — Clear, warm, and professional with children and adults.  
  • Strong organisation — Able to prioritise tasks, manage deadlines, and maintain accurate records.  
  • IT proficiency — Confident using Microsoft Office, email platforms
  • Attention to detail — Accurate data entry, careful record‑keeping, and reliable follow‑up.  
  • Teamwork — Works collaboratively with staff, leadership, and external agencies. 
  • Calm under pressure — Able to manage a busy office with professionalism and positivity.  
  • Commitment to safeguarding — Understands and follows safeguarding and confidentiality procedures.

Desirable Criteria:

  • Experience in a school office or educational setting  
  • First‑aid qualification   
  • Welsh language skills (advantageous in Wrexham)

As part of this apprenticeship, the successful candidate will undertake a structured training programme that includes:

  • On-the-job training – gaining practical experience within a school / office setting.
  • Off-the-job training – attending sessions covering safeguarding, behaviour management, child development, and learning strategies.
  • Regular assessments and feedback to track progress and improve skills.
  • Additional learning support, particularly in literacy, numeracy, and communication.
